Location: Sovereign’s office in Cyprus based in Limassol
JOB DESCRIPTION
- Organise office layout and order stationery and equipment
- Maintain the office condition and arrange necessary repairs
- Manage overall operations including petty cash management, office systems, order inventory and supplies
- Address employees’ queries regarding office management issues (e.g. stationery, hardware and travel arrangements)
- Coordinate with IT department on all office equipment
- Liaise on a day-to-day basis with couriers and messengers
- Handle incoming and outgoing mail
- Processes invoices and managing office budgets
- Arrange transport and accommodation of clients/colleagues visiting the office
- Manage relationships with vendors, service providers and landlord
- Participate actively in the planning and execution of company events
- Answer the phone in a timely manner and direct calls to the right staff
- Create and manage both digital and hardcopy filing systems
CANDIDATE PROFILE
- Fluency in English language (Greek is a plus)
- Solid work experience as a secretary, office manager or in any other similar role
- Proficient with Microsoft Office (Outlook, Word, Excel)
- Excellent time management and communication skills, both written and spoken
- Strong organizational and time-management skills
- Capable of working on their own initiative and under pressure
- A creative mind with an ability to suggest improvements
- Pleasant personality
