How we get the personal information and why we have it

Sovereign Group Marketing collects your personal data directly by you in the following ways –

  • When users submit an enquiry to our website
  • When contacts subscribe to our newsletter
  • When contacts opt in to receive marketing from us using our contact centre
  • When contacts share their details when meeting a representative of our company

We use the information that you have given us in order to invite you to ‘opt in’ to our marketing list. Once you have ‘opted in’ we will send you emails from our marketing team that include news, details of products and services and invitations to live events and webinars.

We do not make any automated decisions based on your personal data.

Purpose and lawful basis for using your personal data

We will use your personal data to contact you about the Sovereign Group’s products and/or services, to provide you with promotional material for the Sovereign Group’s products and/or services or to send you other communications about the Sovereign Group’s business and events.

Sharing your data

Your personal data may be shared within the Sovereign Group. This may include transferring your personal data to other Group offices. If we do so, we will enter into appropriate contractual agreements to oblige the entities in those countries to operate to appropriate data protection standards.

These standards include Standard Contractual Clauses (SCCs) approved by the European Commission, which contractually oblige the entities in those countries to operate to the data protection standards expected within the EU/EEA.

We never share your information provided for marketing purposes with any third parties.

 

How we protect your personal information

Sovereign Group Marketing takes the security of your personal data seriously. We have implemented appropriate technical and organisational measures to safeguard your personal data and protect it from accidental or unlawful destruction, loss, or alteration and from unauthorised disclosure or access.

All personal data collected for the purposes of marketing is securely stored with in our digital Microsoft Dynamics 365 database.

 

How long we keep your data

We keep this data for as long as you remain subscribed to receive marketing news, invitations and information from us and in accordance with our retention schedule.

Your right of access – (commonly known as a ‘Subject Access Request’ or ‘SAR’). You have the right to receive a copy of the personal data we hold about you and to check we are lawfully processing it.

Your right to rectification – You have the right to ask us to rectify any incomplete or inaccurate personal information we hold about you. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction – You have the right to restrict the processing of your personal data. This enables us to suspend the processing of your personal data, for example if you want to establish the accuracy of the personal data.

Your right to data portability – You have the right to request the transfer of your personal data to another party.

Your right to object – You have the right to object to the processing of your personal data at any time. You have an absolute right to stop your data from being used for direct marketing at any time.

 

Right to withdraw consent

You have the right to withdraw your consent. Once we have received notification that you have withdrawn your consent, we will no longer process your information.
