JOB DESCRIPTION

Sovereign Trust (Malta) Limited is looking to recruit a Front Office Administrator. Reporting to the Managing Director, you will be responsible for assisting all departments with the administration.

 

DUTIES

  • Front office duties: Such as welcoming and assisting clients, receive and sort post, answering and forwarding calls, taking and delivering messages.
  • Log, scan and electronically store all incoming and outgoing post.
  • Keep the Boardroom and Meeting Rooms in good order.
  • Assisting the Client Relationship team with the preparation of documents.
  • Filling documents and keep updated the filling system.
  • Archiving of documents advised by the Client Relationship team and Directors, keep the log updated for reference.
  • To assist Directors of Sovereign Trust (Malta) Limited with any particulars, including printing of documents, booking hotels, flights, taxis etc.
  • Assist with the organisation of the annual Sovereign Art Foundation’s Student Art Prize.
  • Other tasks as may be requested by the Directors from time to time

 

Applicants should ideally possess:

  • Previous experience in a similar position will be considered an asset but not essential
  • Excellent communications skills in English, both written and verbal.
  • To be organised and have a meticulous approach to work together with the ability to work within tight deadlines.
  • Strong team player skills and the ability to work harmoniously with a diverse workforce.
  • Good working knowledge of Office programs/tools
